When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

The purpose of this Privacy Policy (‘Policy’) is to give you a clear explanation about how the organisation and all of its subsidiaries collects and uses the personal information (or personal data) you provide to us and that we collect, whether online, via phone, email, in letters or in any other correspondence or from third parties.
Developing a better understanding of our supporters through their personal information allows us to fundraise more efficiently, which ultimately helps to improve Cambridge with Kids.
We have made improvements to this Policy so that transparency is at the core of what we do.

3. The Information We Collect
The organisation does not capture or store any personal information, other than that you submit using our online forms, your emails, your posts in our forum and cookies. The data captured is only used for the purposes for which it is submitted and is not shared with any third party without your permission. 4. Use and storage of your personal information
The organisation commits to:
- Only process information necessary to establish or maintain registration or support.
- Only process information necessary to provide or administer activities for people who are registered users of the organisation, have regular contact with it or who contact us for support.
- Only share this information with people and organisations outside of the organisation when this is necessary to carry out the organisation’s activities.
- Only keep the information while the individual is a registered user, supporter or requires our support or for as long as necessary for the purposes of our support administration, and remove your personal information at your request.
- If you use comments or forums on the website we may use the information you post and the responses to compile aggregate statistics (e.g. number of registered users, numbers of individuals addressing specific issues, etc.), to assist us in research and development to supply to our partners. In these cases, all information will be completely anonymous.
- We publish a newsletter and occasionally operate on line surveys, which you can select to receive from the organisation at the point of registration. We will never sell your e-mail addresses.
5. Our Commitment to Data Security
To prevent unauthorised access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online.
As a user, you agree to any information you have entered above being stored in a database. While this information will not be disclosed to any third party without your consent the webmaster, administrator and moderators cannot be held responsible for any hacking attempt that may lead to the data being compromised.
6. Our Commitment to Safeguarding Children and Adults at Risk
All the information that we receive is treated confidentially, unless there are any concerns regarding safeguarding. Any concerns regarding safeguarding, in accordance with our safeguarding policy, would be forwarded to our Safeguarding Lead Person, to be dealt with in accordance with current legislation and guidelines. We are committed to protecting vulnerable supporters, customers and volunteers, and appreciate that additional care may be needed when we use their personal information. In recognition of this, we observe good practice guidelines in our interactions with vulnerable people.
7. What type of information is collected from you?
The personal information we collect, store and use might include:
- your name and contact details (including postal address, email address and telephone number); your date of birth; information about your activities on our website and about the device used to access it, for instance your IP address and geographical location;
- your bank or credit card details. If you make a donation online or make a purchase, your card information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions;
- information as to whether you are a UK taxpayer so we can claim gift aid; and
- any other personal information shared with us.
- Data protection laws recognise certain categories of personal information as sensitive and therefore requiring greater protection, for example information about your health, ethnicity and religion.
- We do not usually collect sensitive data about you unless there is a clear and valid reason for doing so and data protection laws allow us to. For example, we may ask for your health information if you are taking part in a fundraising event involving physical activity.
- Where appropriate, we will make it clear why we are collecting this type of information and what it will be used for.
Please note that we do not intend to collect any personal data from children under 18 years of age and no child under eighteen should submit any personal data to any of the sites. Should we discover that any such personal data has been delivered to any of the sites, we will remove that information as soon as possible.

Once we have received your information, we will use strict procedures and security features described above to try to prevent unauthorised access. Any sensitive information (such as credit or debit card details) is encrypted and protected with the following software: 128 Bit encryption on SSL. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.
Non-sensitive details (your email address etc.) are transmitted normally over the internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. 12. How long do we keep data?
- Personal data that you have submitted as part of an enquiry to us is archived after one calendar year except where they result in a purchase in which case they are retained longer as part of our financial records
- Inactive cambridgewithkids.com users are archived after 24 months
- Unless you are an active cambridgewithkids.com user (as above) or you consent to hearing from the project partners about their services, we store and retain your personal data for the duration of a training programme and for a further 12 months after the programme has completed.
We keep your information for no longer than is necessary for the purposes it was collected for. The length of time we retain your personal information for is determined by operational and legal considerations. For example, we are legally required to hold some types of information to fulfil our statutory and regulatory obligations (e.g. health/safety and tax/accounting purposes). We review our retention periods on a regular basis.

We may use your contact details to provide you with information about the vital work we do for older people, our fundraising appeals and opportunities to support us, as well as the products and services you can buy, if we think it may be of interest to you.

We will only send you marketing and fundraising communications by email, text and telephone if you have explicitly provided your prior consent. You may opt out of our marketing communications at any time by clicking the unsubscribe link at the end of our marketing emails.

Information collected at one site may be used by any other Cambridge with Kids services for the purposes listed above. 16. Who we share data with:
In line with any contractual obligations we share personal data about participants on training programmes with potential funders such as the National Lottery Fund. We also share personal data with third parties who process our data for the purposes of providing services to you, such as email providers, digital file storage providers, those processing credit card payments, our online invoicing system. Our chosen processors to help us do this include Google Analytics.
Finally, we will share data with the appropriate authorities (e.g. police, law enforcement agencies and other parties) where we have a legal obligation. For example, for the detection and prevention of fraud, or where data is required in relation to a criminal offence.
We do not sell or share data with any other third parties other than those listed above, covered under the trading data clause and where we use a third party to securely process our data on our behalf.
